Monthly bookkeeping, kept current and reconciled every month
Most of my clients end up here. Some start on day one. Plenty come over after a cleanup or a catch-up, because once the books are finally right they don’t want them sliding again. I keep them current in QuickBooks Online, month after month, for clients across the United States from my office in Ash Grove, Missouri.

You hand off the categorizing, the reconciling, the payroll entries, and the reports. You get three reports a month. When a number looks odd, I call you. You get the price in writing before I touch anything.
What happens every month
- Every transaction entered and categorized in QuickBooks Online, in the right account, every time.
- Every bank and credit card account reconciled to the statement, to the penny.
- Every payroll run recorded from your payroll provider, so wages and payroll taxes land in the right accounts and tie to the bank.
- Profit & Loss, what you earned and what it cost you.
- Balance Sheet, what the business owns and owes.
- Statement of Cash Flows, where the money actually went.
Your bank feeds run into QuickBooks on their own. I categorize during the week so nothing piles up, and I reconcile every account when the month closes. When your payroll provider runs payroll, I record the run that same week. Your three reports land in your inbox by the 15th. Want to talk through them? We’ll do a 15-minute call. What the reports tell you
Profit & Loss. What came in and what went out over the month, grouped so you can see which parts of the business carry their weight. When a client tells me the business "feels busy but broke," this is the report that explains why.
Balance Sheet. Bank balances, equipment, credit cards, loans, and what’s left over for you. It’s the first report a lender asks for.
Statement of Cash Flows. Where did the money go? Profit on paper and cash in the bank are two different things, and this report shows what happened in between. If you’ve had a profitable month and still came up short at the bank, this is where you find out why.

Coming from a mess?
That’s the usual path. Most of my monthly clients didn’t start with tidy books. They started with a cleanup because the file was wrong, or a rebuild because the file was behind. Both end in the same place: books that are current and reconciled. From there you can hand me the keys or take it back yourself. Nobody has to stay on monthly after a project, though most people do.
How the monthly quote is built
Monthly bookkeeping is a flat monthly fee, quoted in writing after a free review of your file. The number comes from your file: how many bank and credit card accounts I reconcile, how many transactions run through them in a normal month, whether payroll goes through the books and how often, whether I’m paying bills or sending invoices out of QuickBooks, and how your industry is put together. A property manager with trust accounts and a dozen cards costs more than a one-person shop with one checking account and one card. The pricing page walks through everything that moves the number.
How billing works
Before any work starts you get a written engagement letter that spells out the scope and the fee. The monthly fee is billed on the 1st. Either of us can end the arrangement with 30 days’ written notice, and your QuickBooks file stays yours either way.
