Clever has grown fast for a small Christian County town, and it still feels like the farm town it started as. Young families keep arriving, houses keep going up, and a lot of the work around here gets done out of a pickup truck: framers, concrete crews, electricians, and handymen who went out on their own because they’re good at the work.
Being good at the work doesn’t mean you like the paperwork. That’s my end of it. I’m Diane Jones, a QuickBooks Online ProAdvisor about 35 minutes up the road in Ash Grove.
Bookkeeping for one-truck contractors
My contractor bookkeeping is built for the kind of outfit Clever is full of. I set up job costing in QuickBooks Online so you can see which jobs made money and which ones just kept you busy, track material and sub costs against each project, and prepare and e-file 1099s for your subs in January. The monthly fee is flat, and you get the price in writing before I touch the file.
Simple to start, simple to keep
We start with a free 30-minute call over Zoom or the phone, the same way I start with clients in other states. I look at your QuickBooks file, or you tell me how the shoebox works now, and I’ll tell you if you don’t need me. If the books are behind, rebuilding them gets a fixed project quote instead of open-ended hours. After that, monthly service means reconciled accounts and reports by mid-month. When a number looks strange to you, call me. I pick up, or I call you back within 15 to 20 minutes during the day.
A Form 990 on extension is due November 16, 2026. Your CPA needs reconciled, fund-level books to finish it, and that's the part I do.
Filed an extension for 2025? Those returns are due October 15, 2026. Your CPA needs a reconciled 2025 file before then, and the sooner I see it the more room we both have.
1099s for your subs and vendors are due February 1, 2027, and they're built from a full year of entered payments. If 2026 is behind, the last weeks of the year are the time to catch it up.
1099s for your subs and vendors are due February 1, 2027, the same day your payroll provider sends W-2s. If the 2026 books aren't entered yet, that's the first thing I'd fix.
S corporation and partnership returns are due March 15, 2027. Your CPA needs a reconciled 2026 file to file on time.
Individual returns are due April 15, 2027. A reconciled 2026 file is what your CPA needs to file, or to file the extension with real numbers.
